Alternatives
Find the right alternatives for your productivity tool.
90 guides covering every major productivity tool on Mac: calendar apps, AI schedulers, task managers, habit trackers, and all-in-one platforms to help you find yours.
Looking for a productivity alternative? Start Here.
Most people arrive here from one of two directions. They just cancelled something and want to know what to move to. Or they are using something and wondering what they are missing. Either way, the question is the same: is there a better way to manage time and work on a Mac?
We have written 90 honest comparisons to help you answer that. They are organised below by the type of tool you are replacing. Start with the category that describes what you already use.
Our approach to alternatives.
There is a version of this page that just lists tools and calls Aftertone better. We have not written that page.
Every guide in this section was written to be useful even if you do not choose Aftertone. Each one covers what the tool does well, who it is genuinely right for, and where it falls short. If you are on the fence about something, the guide will help you decide. If the tool you are leaving actually fit you better, the guide will say so.
What we have found, writing 90 of these, is that most tools solve one part of the problem and stop. A calendar app shows you what is happening. A task manager tells you what to do. A habit tracker counts your streaks. Very few connect the phases: planning, executing, reviewing, improving. That gap is what Aftertone is built to close.
Section 1: Calendar apps
You are leaving a calendar and want something that does more.
The most common switch we see. Someone has been living in Google Calendar or Fantastical for years and has realised they are spending half their day managing an event grid rather than doing actual work. The calendar shows what is happening but offers no opinion on what should happen next.
This is not a criticism of calendar apps. They do their job. The limitation is that their job is scheduling, not execution. There is no focus mode. There is no task layer. The AI, where it exists, helps you create events faster rather than helping you work better.
Aftertone syncs with Google Calendar and builds a productivity system on top of it. You keep your calendar. You gain the structure that turns a schedule into a plan.
The 46 guides in this section cover every major calendar app on Mac and the audiences they serve.

Section 2: Auto-schedulers
You want to stop managing a schedule and let software do it.
Auto-schedulers are appealing for a specific reason. If your problem is a list of 40 things with competing deadlines and no idea when to do any of them, the idea of software that builds your schedule sounds like relief.
The research is worth knowing here. Gollwitzer and Sheeran's meta-analysis across 94 studies found a medium-to-large effect for implementation intentions on goal follow-through. An implementation intention is a specific if-then plan: at this time, I will do this thing. The mechanism is automaticity. When you pre-decide what you will do, the moment triggers the behaviour without needing willpower. Auto-schedulers remove that decision from you. The research suggests the removal comes at a cost.
What auto-schedulers do well is handle deadline complexity. If you are managing multiple client projects with hard due dates and dependencies, the scheduling engine is genuinely useful. Where they stop is execution. Once the block is placed, you are on your own.
Aftertone's position is intentional: you place your own time blocks, because the act of deciding is part of the system. The Focus Screen then protects your attention inside those blocks. But if the planning step is a barrier you cannot get past, one of the tools below may be the right starting point.

Section 3: Task managers
You have a great list system and need to connect it to time.
Task managers solve the capture problem without addressing the execution problem. Masicampo and Baumeister showed that unfinished tasks keep intruding on your thinking until you make a specific plan for them. Writing the task down is not enough. The intrusion stops when you put it in a time block.
Every task manager in this section handles capture well. Most of them have been doing it for years. The question is what happens after capture, and most of them have the same answer: nothing. Tasks sit in a list until you decide to do them.
Aftertone has native task management built into the same system as time blocking and the Focus Screen. It is less feature-rich than dedicated task managers. There are no Kanban views, no deep GTD perspectives, no Apple Watch integration. What there is: tasks that go directly into time blocks, and a Focus Screen that knows which task you are on and adapts accordingly.

Section 4: Focus and habit tools
You are trying to track behaviour or protect your attention.
This is the most varied category on this page. It includes time trackers, Pomodoro timers, habit tracking apps, accountability tools, and attention management software. What they share is a focus on behaviour rather than scheduling. They track what you did, or try to shape what you do next.
Where habit tools generally fall short is at the planning layer. They work on the assumption that you already know what to work on and when. The tracking is downstream of that decision. If you do not have a solid planning system, the habit data accumulates without telling you much you can act on.
Rize and RescueTime are the interesting cases in this section. They run in the background and record what actually happened to your time. The insight is genuine: most people discover they got three hours of real focused work done on a day they thought was productive. Aftertone's AI reports approach this from the opposite direction, generating weekly insight on patterns across planned versus actual time. If you want honest data about where your attention goes, Rize and Aftertone are complementary rather than competing.

Section 5: All-in-one platforms
You are leaving a platform that tries to do everything.
All-in-one platforms are seductive. The pitch is a single tool for tasks, calendar, notes, goals, and project management. One app, no switching cost, everything connected. The reality is usually depth-for-breadth trade-offs you discover a few months in.
Sunsama is the closest to Aftertone in this category. It is a capable daily planning tool with real design care and a guided morning ritual. The differences: Sunsama has no AI, no behavioural pattern analysis, no Focus Screen. Its strength is the guided structure it provides. Aftertone's strength is what happens after the plan is set.
Akiflow is worth noting because it solves a different problem entirely. If your tasks genuinely arrive from five separate tools — Jira, Slack, Asana, Gmail — Akiflow's universal inbox is one of the few things that handles that consolidation well. If you are not in that situation, you are paying for infrastructure you do not need.

FAQs
How do I know which alternative is right for me?
Start with the category that describes what you already use. If you're leaving a calendar app, the calendar section covers every major one on Mac. If you're leaving a task manager, that section covers tools like Todoist, Things 3, and TickTick. If you're leaving an AI scheduler like Motion or Reclaim, that section covers what each one does well and where it falls short. Every guide is written to be honest about whether the alternative is actually better for your situation, not just whether it's Aftertone.
Are these guides biased towards Aftertone?
Every guide covers what the tool being replaced does well, who it's genuinely right for, and where it falls short. If the tool you're leaving actually fits you better, the guide says so. The goal was to write guides that are useful even if you don't choose Aftertone. 90 guides in, the pattern that keeps coming up is that most tools solve one part of the problem and stop. A calendar app schedules. A task manager lists. Very few connect planning, execution, and review in one place. That gap is what these guides are really about.
What's the most common reason people switch away from their current tool?
Two situations come up most often. The first is someone who's been using Google Calendar or a similar calendar app and has realised the calendar shows what's happening but offers no opinion on what should happen next. There's no focus mode, no task layer, no analysis of how the week went. The second is someone who tried an AI auto-scheduler like Motion and found that a calendar planned by an algorithm feels like someone else's week. The tool is full but the right work isn't getting done.
Does switching tools actually make a difference?
Only if the new tool fixes the actual problem. Most people who switch tools and see no improvement are switching between tools that have the same limitation — they help you organise but not execute. The tools worth switching to are the ones that cover the full cycle: planning, executing, and reviewing. If your current tool does all three well, switching probably won't help.
How long does it take to migrate from one tool to Aftertone?
Five minutes to set up. Connect Google Calendar, bring in your current tasks, and you're planning your first day. The migration guides for specific tools — Motion, Sunsama, Akiflow, Reclaim, and others — cover the specifics of moving your workflow across without losing anything in the process.
